Post Once, Everywhere, In About Four Minutes

I used to spend forty minutes every morning uploading the same video six times. Here is the system that got it down to four, and the reach math that made me stop picking favorites.

I put the identical post out in six places on the same day. Same file, same day, same idea. The gap between the best result and the worst was twelve times over. And it was not the platform I would have bet on.

Then it flipped the next month. The one carrying me went quiet and a different one took over. That happens constantly, and it is the entire argument for posting everywhere. Picking a favorite is not focus. It is a guess you are making with your own reach.

Do this before anything else:

  1. 1.Take one post you already published everywhere and write down the reach on each platform.
  2. 2.Divide the biggest by the smallest. That multiple is what you have been leaving on the table every time you posted to one place.
  3. 3.Now do it for a post from three months ago. If the ranking changed, you have your answer about whether you can pick a winner in advance.

Here is the thing nobody says out loud. The posting was never the work. The work is the copying and pasting wrapped around it, and that part is completely automatable.

Step 1: make one master file that travels.

  1. 1.Vertical, 1080 by 1920. It is the only shape that survives everywhere without another app deciding the crop for you.
  2. 2.Keep the important stuff out of the top and bottom 15 percent. Every platform puts its own interface over those bands, and your headline lives there by default.
  3. 3.Burn your captions into the video. Most people watch on mute, and platform generated captions get positioned differently on every app.
  4. 4.Under three minutes. YouTube Shorts and Instagram Reels both hard stop at three, so a four minute file fails silently on the two that matter most while succeeding everywhere else.

Derive every limit from the strictest platform, not from the one you like. One file that satisfies the tightest rule works in six places. Six files that each satisfy one rule is the job you are trying to stop doing.

Step 2: write a different caption for each place.

  1. 1.This is the step people skip and it is the one that actually costs reach. The same caption pasted six times underperforms on at least four of them.
  2. 2.Instagram: one or two short lines that earn the comment. Two hashtags at most, doing real work.
  3. 3.Facebook: full sentences. Facebook readers actually read, so write the paragraph.
  4. 4.YouTube: the title already carries the hook, so keep the description compact.
  5. 5.Threads: write something a person would reply to, not a caption. No hashtags.
  6. 6.LinkedIn: the business angle in plain language. Time saved, money made, what changed. No corporate voice, no "thrilled to share".
  7. 7.TikTok: short and casual, two or three discovery hashtags at the end.

Rules per platform:
- Instagram: 1-2 short lines after the CTA. Max 2 hashtags.
- Facebook: fuller conversational sentences, no hashtags.
- YouTube: compact, the title carries the hook.
- Threads: reads like a post someone would reply to, no hashtags.
- LinkedIn: the business angle in plain words, zero corporate speak, no hashtags.
- TikTok: casual, 2-3 discovery hashtags at the end.

Every caption under 480 characters. Never paste the same words twice across platforms. Match my writing voice from the samples I am about to paste.

Step 3: build a repeating schedule, not a to do list.

  1. 1.Pick your slots once. Three or four fixed times a week beats "whenever I remember" by a mile, and it removes the daily decision entirely.
  2. 2.Put finished posts into a queue instead of scheduling each one to a date. The queue fills the next open slot on its own, so a busy week does not create a gap.
  3. 3.Batch the making. Film several at once, then feed the queue. The queue drips them out at a human pace.
  4. 4.Leave one slot open every week for anything timely. If nothing comes up, the queue takes it.

Step 4: two things that quietly cost you reach.

  1. 1.Another platform watermark in your video. This one is confirmed, not folklore. Re-export a clean file rather than downloading your own post back off another app.
  2. 2.A link in the post body. Most feeds would rather you stayed, so a post pointing off-platform tends to travel less. Put the ask in the comments instead, or use a keyword so the comment does the work.

Last thing, and this is the highest leverage habit in the whole system. When something outperforms, make it again. Not a repost. A new version, new hook, new opening shot, same underlying idea. Your average post tells you nothing. The two that ran away from the pack are the only ones carrying information, and most people study the flops instead.

One master file, six captions, a queue that fills itself, and a rule about what to remake. That is four minutes a morning instead of forty, and it is the same output.
